The Front Desk Receptionist plays a crucial role in creating a positive impression and delivering excellent customer service to our customers, visitors, and employees.

 

Job Responsibilities

 

  • Welcome guests, clients, and employees as they arrive at the office, providing a warm and hospitable reception experience;
  • Manage incoming calls, emails, and in-person inquiries promptly and professionally, providing accurate information or directing inquiries to the appropriate department or staff member;
  • Coordinate appointments, meetings, and conference room bookings, ensuring schedules are organized and conflicts are resolved effectively;
  • Assist with various administrative tasks, such as data entry, filing, photocopying, and handling correspondence to support the smooth operation of the office;
  • Keep the reception area tidy and presentable, ensuring a clean and organized workspace for visitors and staff;
  • Monitor and control access to the premises, issuing visitor badges as necessary and ensuring compliance with security protocols;
  • Receive and sign for packages and deliveries, notifying recipients promptly of their arrival and ensuring proper distribution;
  • Performs other required tasks as assigned.

 

Job Requirements

 

  • High school diploma or equivalent;
  • Proven experience as a receptionist, front office representative, or similar role;
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor;
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively;
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software;
  • Ability to maintain confidentiality and handle sensitive information with discretion;
  • Familiarity with office equipment, such as multi-line phone systems, printers, and fax machines;
  • Punctuality and reliability are essential, with a flexible attitude towards working hours as needed.
